You added times, but guests can't book some or all of them. Work down this list — top causes first.
Fastest check: open your booking link in a private/incognito window and try to book the slot. Missing, "unavailable," or "full" each point somewhere different.
1. The experience isn't bookable
Set on the experience's Edit page (not Schedule). The Schedule page won't warn you.
- Visibility = Hidden → nobody can book, however many times you add. Set it to Public or Direct link only.
- How guests book = By request → guests see a "call to book" prompt, no calendar. Set it to Online booking.
2. The time got skipped when you added it
After you add Special dates, read the note — it leads with the good news, so the skip is easy to miss:
"Added 3 slots. Skipped 6:00 PM (already exists)."
- "already exists" → that time is already open (often from the weekly grid). Not missing — already there once.
- "in the past" → the time already passed for that date. Can't be opened.
3. The experience is outside its Seasonal window
If you scheduled it on the Seasonal calendar ("only offered part of the year"), it stays hidden until its start date and hides itself again after. A start date in the future = no spots now, by design. Check the Seasonal calendar entry, or set Visibility to Public/Direct link only to override.
4. Wrong location timezone
Timezone decides what counts as "past" and when a slot goes live. A wrong location timezone shifts times by hours. Confirm it matches where the venue physically is.
5. Spot exists but reads full / unavailable
Something is blocking it:
- Blocked by you or a teammate.
- Inside a blackout window.
- Venue taken over — another "owns the venue" experience or a full-store buyout covers that date/time. (A private event set to own the venue does this to your other experiences, and vice versa.)
- Store-wide seat cap reached across everything running at that time.
6. Lead-time rule
A minimum advance booking window hides slots too close to now. Usually only bites same-day testing.
7. Date too far out
Bookings open up to a maximum advance booking window (often ~6 months). Farther-out dates open automatically as they approach.
8. Large-group rules
Testing as a big party is stricter:
- Slot needs enough remaining capacity for the whole group.
- Above your large-party threshold, the slot must be set to accept large parties.
9. Location not turned on
Schedules are per location. If the experience isn't active at that location — or the location is off — its times won't show. Check the location link on the Edit page.
10. Save didn't take
Saw "Saved, but the booking calendar could not be refreshed"? Reload the Schedule page and save the slot again.
