The run sheet is the view your host stand keeps open during a shift. It shows what's happening today, in chronological order, with everything the host needs to greet a guest and start the experience.
Opening the run sheet
From the admin sidebar: Today. Or from the kiosk view at your host stand.
The run sheet shows every booking for today, sorted by start time. For each booking:
- Time
- Guest name (or party host name for groups)
- Party size
- Experience name
- Payment status (paid / deposit only / card on file)
- Any notes (dietary restrictions, accessibility needs, first-time guest flag)
- Add-ons (custom label, themed package, take-home tote)
Checking a guest in
Tap the Check in button on the guest's row. Done.
For parties, you can check in the host first, then add the rest as they arrive, or check in the whole party at once.
Marking a no-show
If 15 minutes after the booking start time the guest hasn't arrived, tap No show. The system applies your no-show policy (typically the no-show fee is held automatically).
For card-on-file bookings, this triggers the no-show charge. For deposit + balance, the deposit is forfeit and no balance is charged.
The host can undo a no-show within the same shift. Sometimes the guest is just running late.
Adding a walk-in
Walk-ins for public classes (if you accept them): Add walk-in → fill in party size, payment method, and the experience they're joining.
The walk-in is added to the run sheet, the seat count updates against your capacity, and the payment is processed at the host stand (card present and in person, a lower processing fee than online).
Settling the balance
For card-on-file or deposit + balance bookings, the host settles the final amount at the end of the experience:
- Open the booking on the run sheet.
- Settle balance.
- Enter any add-ons added day-of (extra fragrance pours, a second candle, take-home accessories).
- Charge. The saved card is charged for the final amount.
- The receipt emails to the guest automatically.
Notes during service
The notes field on the run sheet is for the kind of things you'd write on a paper run sheet: "First-timer, give the slow walkthrough." "Allergic to lavender, use vanilla blend." "Anniversary couple. Give them the table by the window."
Hosts can edit notes during service. They're saved with the booking so the next time the guest comes back, you have the context.
End of night
The closing host marks each booking as Completed or No show as the night winds down. At end of service:
- Confirm all walk-ins are checked out (no open card holds).
- The "needs attention" panel will show anything unresolved.
- Cash close-out (if you accept cash for walk-ins) reconciles through Square POS, separate from ArtistryHost.
A clean run sheet at end-of-night means a clean morning report.
