Importing existing bookings (Toast, Bookeo, Peek, FareHarbor, CSV)

Free migration from your current platform. Upload a CSV, we preload your calendar and email your guests about the change.

If you're switching from another platform, you don't need to manually re-enter every future booking. The importer handles it.

We support direct imports from:

  • Bookeo
  • FareHarbor
  • Peek Pro
  • Toast
  • Square Appointments
  • Acuity
  • Generic CSV (for anything else)

The steps

  1. Export from your old platform. Each one has a different export path:

    • Bookeo: Bookings → Export → CSV
    • FareHarbor: Reports → Bookings → Download
    • Peek Pro: Reports → Activities → Export
    • Toast: Reports → Reservations → Export
    • Square Appointments / Acuity: Standard CSV export from their reports

    Export all bookings with a date in the future, plus customer info (name, email, phone if you have it).

  2. Open Migrate in ArtistryHost. Sidebar → Settings → Migrate from another platform.

  3. Pick your source platform. The importer knows the field layout for each. Bookeo's columns won't be the same as FareHarbor's. We map them automatically.

  4. Upload the CSV. You get a preview: how many bookings, what experiences they'll map to, any issues we flagged (missing emails, dates in the past, duplicates).

  5. Map experiences. The importer doesn't know what your old platform called things. You confirm: "Bookeo's 'Candle Pour 90min' maps to ArtistryHost's 'Candle Pour Workshop'." Once mapped, the rest of the rows use the same mapping automatically.

  6. Review and import. Click import. The bookings load. The guests are added to your customer database.

Notifying the guests

This is the part most platforms skip. When you switch from Bookeo to a new platform, your future-booked guests had Bookeo confirmation emails with Bookeo links. Those links won't work anymore.

The importer offers to send a change-of-system email to every imported guest with a future booking. The email:

  • Is signed by your venue (not by ArtistryHost)
  • Explains that your booking platform changed
  • Confirms their existing booking is still on the calendar
  • Includes a new confirmation link

You preview the email before any are sent. Most operators send it. It saves dozens of confused "is my booking still valid?" emails over the next few weeks.

What we don't import

  • Past bookings. We only import future-dated. Past booking history stays in your old platform's reports.
  • Gift card balances. Square gift cards work natively; if your old platform had its own gift cards, you'll need to honor them manually until they're redeemed.
  • Subscription / membership data. Most platforms structure these differently. We help you re-set them up by hand.

Cost

Free. We don't charge for migration. The point of the migration tooling is to make it easy to leave any platform, including ours, if you ever want to. The best way to keep customers is to deserve them, not to lock them in.

Timeline

For a typical venue with under 100 future bookings, the entire migration takes about 90 minutes including the review steps. For a larger venue (multi-location, hundreds of future bookings), plan for a half-day.
