An "experience" is anything a guest can book. A Friday-night candle class, a private buyout, a winery tour, a knife-skills class. You'll set them up once and reuse the template for each scheduled session.
The setup
- From the sidebar, open Experiences → New experience.
- Fill in the fields below, then Save.
The fields
Name. The customer-facing title. Make it specific ("Custom Candle Pour. 90 min") not generic ("Workshop"). This is what shows up in the booking flow.
Description. Two or three sentences. What happens at this experience. What the guest takes home. Anything they need to bring (or NOT bring). This is the marketing copy that converts the click.
Photos. Upload three to five photos. Real moments at your venue beat product shots. Photos with people in them convert higher than empty rooms. The first photo is the hero image, pick the best.
Pricing. The per-guest base price. If you have a guest-facing service fee enabled (see the service fee article), it'll be added at checkout. You don't include it here.
Capacity. Maximum number of guests for this experience. If you have a 12-seat candle bar, that's 12. If you have a tasting room that fits 4 at a flight, that's 4.
Party-size rules. The minimum and maximum number of guests per booking. Different from venue capacity. A bachelorette of 8 might book together. A solo guest might book a seat for 1. Set the floor and ceiling here.
Payment mode. Pick one: full prepayment, deposit + balance, or card-on-file. See the payment modes article for the trade-offs.
Cancellation policy. Inherit the venue default, or override per experience. See setting your cancellation policy for the bracket editor.
Schedule. Add the dates and times this experience runs. Two options:
- Recurring. Runs every week at the same time. Use this for your standard schedule (every Friday 7pm).
- One-off, single date. Use this for themed events (Mother's Day, Halloween).
You can mix both. A recurring Friday 7pm + a one-off Valentine's Day 8pm are no problem.
Instructor or host (optional). Pick a team member from the dropdown. The run sheet uses this for staffing. The customer doesn't see it unless you explicitly include the instructor name in the description.
After saving
The experience appears at book.yourvenue.com immediately. Test the booking flow yourself before driving traffic. Pick the experience, the date, and run through checkout. You can void the test charge from Square and refund yourself in seconds.
Editing later
Open the experience from Experiences → All. Changes save immediately and apply to future bookings. Already-confirmed bookings keep their original price and details.
If you change pricing or capacity in a way that affects existing bookings, we'll show a confirmation dialog explaining the impact before applying.
